Hiring Terms & Conditions and Information – Private (‘one off’) Bookings (e.g. parties, etc.)
Egglescliffe Parish Hall
For a private booking you will get exclusive use of the hall. The capacity of the hall (due to fire regulations) is 120 people.
There is the larger hall and a smaller hall with a bar area – the two halls are linked but can be separated with the concertina screen. You can set things out however you want them. There is a kitchen which has sink, cooker (gas 4-ring hob, double electric oven) and fridge (with small freezer compartment) and ample worktop area. There is also a separate bar area – also with sink and work top area. There is a small room at the back which is labelled as the ‘committee room’ and is generally used for overflow storage, but can be a useful quiet area or place to put things you would prefer to keep out of sight.
You are welcome to decorate the Hall for your occasion with bunting, balloons, etc. and there are several eyes in the walls which are useful for attaching decorations to, and a suitable step ladder to get to them. On the painted walls we request only blutac is used, but there are also plenty of pin boards that you can decorate over in order to pin things up. We do however expect you to remove your decorations at the end of the function.
You are expected to leave the hall in a clean and tidy state (as you should find it) and there are tea towels/brushes and other cleaning equipment to help you do so!
There is a car park to the rear of the hall and a small garden area to the front.
– there are typically 3 time slot options on a Friday afternoon/evening to Saturday all day (these however can be entirely flexible dependant upon other bookings).
0900 – 1300hrs
1300 – 1700hrs
1700 – 2300hrs
The first 2 four-hour “time slots” are frequently used for children’s parties which seem to suit an approximately 2-hour party and allow you an hour before and after for setting up and tidying up. The evening “slot” tends to be used for older children and adult events.
The hall can also be booked for the full day which indeed it has been previously for wedding celebrations and other larger events.
On Sundays the hall is primarily for the church to use however, apart from morning Sunday school, the hall often remains available and the church are very happy that, if they do not require the hall, it may then to be booked out privately. It is often the case that it may be booked for a christening party and access can be organised on the Sunday morning. (Christening services typically begin around 12:00hrs.)
We are happy to organise viewings of the hall prior to making a booking.
There are several cupboards and drawers in the kitchen and bar areas which contain glasses, crockery and cutlery and a small selection of some cooking utensils (however generally less of the larger cookware and serving type implements) – these are all available for use. There are also several cupboards that are labelled and or locked/tied closed – the contents of these cupboards belong to some regular group users of the hall and we respectfully request that these cupboards and drawers and their contents are left undisturbed. The only proviso to using the available equipment is that it is all washed up and put away again.
There are a large number of tables and chairs etc. supplied with the hall.
We have a variable costing structure depending on the length of time the hall is hired for and the time of day and for what purpose the hall is going to be used for. You will be informed of the cost for your particular event when we have all the details we require.
Booking the Hall
For all private bookings we require payment in full ahead of the event to secure the booking. Payment can be made by cheque, cash or BACS. Please send cash or cheques (payable to EPHA) to Eddie Buck, 1 Eastbourne Avenue, Egglescliffe TS16 9BZ. BACS payments should be made to Egglescliffe Parish Hall Association, Sort Code 20-82-18, A/C No. 40573906. Please use the reference given.
An additional £25 is payable at the time of booking, which is held as liability against damages occurring during your event and any additional costs incurred as a result of excessive cleaning requirements following the event. This fee is fully refundable within one working day of your event, once the hall has been inspected.
In the event of cancellation, a fee of £25 will be withheld to cover costs. If the booking timeslot however is taken up by another party, a full refund will be made.
Once we have received payment, you will be informed of the contact number to arrange collection of the hall keys for your booking.
